Terms of Service

These Terms form a contract between you and Charlie Miller trading as Phantiq Studios, the operator of Charlie.ai. They apply when you create an account, use the service, or buy a paid plan. Terms version: 2026-08-13.

1. What Charlie.ai provides

Charlie.ai helps service businesses prepare, review, send, and track customer follow-ups. You may activate a private receive-only Charlie address and deliberately forward selected emails to it without granting mailbox access; this does not let Charlie send mail from your account. Where you connect a supported Google, Microsoft, HubSpot or Xero account, Charlie may read relevant inbox messages, detect replies, prepare drafts, send an exact approved email, create an exact approved calendar event, update an exact reviewed CRM contact, or create an exact reviewed draft invoice. Charlie also lets you create, edit, brand, generate, download, or deliberately email reviewed quote and invoice PDFs without connecting accounting software, record a customer's stated quote decision, and copy an accepted quote into an editable invoice draft. Charlie does not verify acceptance or collect payment. Manual use remains available when no service is connected. Existing Workspace features remain available as an advanced foundation. AI output can be incomplete or incorrect, and you remain responsible for reviewing communications, quote and invoice details, tax treatment, customer decisions, and consequential actions before approving them.

2. Accounts and security

You must provide accurate account information, protect your sign-in credentials, and tell us promptly if you believe your account has been compromised. You are responsible for activity performed through your account unless caused by our failure to use reasonable security.

3. Plans, allowances, and payment

Paid plans renew monthly until cancelled. The price, included limits, and billing period shown before checkout form part of your order. AI usage from all models and features is combined against the plan's finite allowance. Charlie.ai enforces a hard stop when an allowance is exhausted; upgrading can provide additional capacity. Stripe processes payments, and Charlie.ai does not store full card details.

4. Cancellation and plan changes

You can cancel or change a plan from Billing. The service will show when a change takes effect. Nothing in these Terms limits any statutory cancellation, refund, or consumer rights that apply to you.

5. Your content

You retain ownership of content you submit. You grant us the limited permission needed to host, process, transmit, and generate results from that content solely to provide, secure, and improve the service. If you enter customer names, contact information, enquiries, or quote details, you confirm that you are permitted to use that information for the follow-up and to instruct us and our service providers to process it. Do not submit content you lack the right to use.

6. Connected services and automation

Connecting a third-party service authorises Charlie.ai to access only the capabilities shown during connection and to process that data to provide the features you enable. A private forwarding address receives only the emails you deliberately route to it and is not mailbox access; outbound replies still require a supported sending connection. Automatic inbox checks and draft preparation may run in the background. Customer-facing email, calendar creation, CRM changes, accounting drafts, and quote/invoice PDF email delivery require your approval of the exact content in the current release. You can disable automatic processing or disconnect a service at any time. Provider availability, permissions, rate limits, and outages may delay or prevent an action; Charlie.ai will not describe a failed or ambiguous provider outcome as successful.

7. Acceptable use

You must follow our Acceptable Use Policy. We may restrict or suspend activity that is unlawful, abusive, unsafe, infringes rights, threatens the service, or attempts to bypass usage, approval, or security controls.

8. Availability and changes

Charlie.ai is continuously developed and may change during the soft-launch period. We do not promise uninterrupted availability. We will use reasonable care and skill, communicate material service changes, and avoid describing unavailable capabilities as live.

9. Liability

Nothing excludes liability that cannot lawfully be excluded. Subject to that, Charlie.ai is a decision-support and supervised-execution service, not legal, medical, financial, or other regulated professional advice. You must independently review high-impact decisions.

10. Ending access

You may stop using Charlie.ai and request account deletion. We may suspend or end access where reasonably necessary for security, non-payment, serious breach, or legal compliance, and will give notice where practicable.

11. Law and contact
